Page: 1 | 2Sustainable Connections Conference Room Policy - 1701 Ellis Street, Bellingham, WA 98225 Sustainable Connections (SC) has a conference room at 1701 Ellis Street, Bellingham, that may be available for use by local groups, businesses or organizations that are aligned with the mission of Sustainable Connections, if such use does not conflict with Sustainable Connections’ regularly scheduled business activities & needs. There are no set fees for using this space. Donations may be made here if a group is willing & able, but they are not a requirement or factor for consideration. The approval of a group’s space reservation request does not, in any way, constitute an endorsement of the group’s policies or beliefs. Sustainable Connections staff reserve the right to cancel any reservation with or without prior notice. The conference room space has one conference table with 16 chairs around it, here is a photo. There is a large screen TV, which a computer to connect to do a sharescreen if the computer has an HDMI, USB or USB-C port. It may be possible for us to provide a computer for such use. There is wifi in the space, the password for which is posted on the wall of the room. There are 24 additional folding chairs, 9 folding 6ft x 2.5ft tables, and one 8ft x 2.5 table, located in the storage room adjacent to the meeting room. Space use regulations are as follows: 1. Space reservation requests may be made by reading, understanding & submitting this webform. 2. Any event serving alcohol will require the appropriate Special Occasion Liquor License obtained through the Washington State Liquor Control Board. 3. Guest users may make a site visit to assess accessibility. 4. Space reservation requests are reviewed & approved on a “first-come, first served” basis, at the discretion of Sustainable Connections staff.5. No smoking in the Conference Room or Creekside Building.6. The person submitting the space reservation is responsible for leaving the space in its original form, as well as ensuring the doors are locked, the lights are turned out, and the windows are closed/locked.7. Damage of SC property will result in charges for the repair or replacement of damaged property and/or the loss of permission to use the meeting/conference rooms.8. The person submitting the space reservation is responsible for the behavior of the group/organization and it’s guests, during their use of the SC space.9. If the meeting will be held after SC office hours, either an SC staff member needs to be present or the SC Administrative Manager needs to approve the reservation request.10. Children must be supervised at all times. Sustainable Connections is not responsible for children left unattended in the Sustainable Connections office while their parent or guardian is in a meeting at Sustainable Connections.11. We encourage you to hold a Toward Zero Waste event! Resources found here. 12. All compost, recycling & landfill receptacles must be emptied into the receptacles located behind the locked green fencing, a block north on the same side of the street, before leaving the space. (Go out our front door, turn left.)13. Advance notice and signed responsibility is required for the use of Sustainable Connections audio-visual equipment.14. Sustainable Connections does not provide porter services for groups meeting in the facility nor storage space for their property. SC does not accept responsibility for materials that are lost or damaged.15. Sustainable Connections staff will not accept calls, emails, or relay messages to people attending meetings except in emergencies. SC will give the name and phone number of the person and group making the reservation to anyone inquiring about the meeting.16. Excessive noise or disruption to the functions of the Sustainable Connections office are not permitted. Music and noise must be kept to a reasonable level, and in accordance with the City’s noise ordinance.17. Permission to use the facilities may be revoked from anyone who fails to comply with these policies.18. Sustainable Connections may assess a fee for use of the space or for use of certain amenities. This amount will be provided along with the space reservation confirmation.19. Sustainable Connections reserves the right to alter this policy without prior notice.
